In Part 1 of this series, we explored the legal risks associated with mishandling student and parent data and how a single complaint to the Office of the Data Protection Commissioner (ODPC) can expose a school to regulatory action, financial penalties, and reputational damage.
Compliance, however, is only one side of the equation.
The other challenge facing schools today is understanding the technology that powers teaching, learning, and school administration. As schools continue to embrace digital transformation, many have invested heavily in software to manage admissions, finance, learning, communication, attendance, and examinations. Yet despite these investments, many institutions still struggle with fragmented information, duplicated records, rising subscription costs, and systems that operate in isolation.
The problem is often not that schools have too little technology. It is that they have too much of the wrong technology.
It is increasingly common to find a school using one platform for finance, another for teaching, another for communication with parents, and yet another for attendance management. Each application performs its own task reasonably well, but because these systems do not communicate with one another, staff are forced to enter the same information multiple times while exposing the institution to unnecessary operational and security risks.
Before investing in another software platform, school leaders should first understand the four essential pillars that make up a modern school technology ecosystem.
The Four Essential Pillars of School Technology
Although software vendors package their products differently, almost every school relies on four broad categories of systems. Understanding the purpose of each one helps schools avoid unnecessary duplication while ensuring that every investment delivers value.
1. Student Information Systems (SIS)
A Student Information System (SIS) serves as the school's permanent institutional record. It is the central repository for student information from the moment a learner is admitted until long after graduation.
The system stores admissions records, student demographics, attendance history, medical information, disciplinary records, examination results, and official transcripts. Unlike classroom systems that change daily, the SIS preserves the learner's official educational history.
For Kenyan schools, this system should also support national reporting requirements. It should align with the data structures required by the National Education Management Information System (NEMIS) and the Kenya National Examinations Council (KNEC), reducing manual data entry, improving accuracy, and simplifying statutory reporting.
The Student Information System should become the school's single source of truth for learner records.
2. Learning Management Systems (LMS)
While the SIS preserves institutional records, the Learning Management System (LMS) supports the day to day teaching and learning experience.
It is where teachers prepare lessons, upload learning materials, assign homework, administer quizzes, assess learners, and provide continuous feedback. Students access course content, submit assignments, participate in discussions, and monitor their academic progress.
The Kenyan education landscape presents unique requirements. Although universities and TVET institutions often rely on platforms such as Moodle, primary and secondary schools require systems that support the Competency Based Curriculum (CBC). Effective Learning Management Systems should therefore enable teachers to record competency based assessments and formative learning outcomes rather than relying solely on numerical grades.
A Learning Management System should support learning, not simply digitise the classroom.
3. School ERP and Financial Management Systems
Behind every successful school is a well managed administrative and financial operation.
A School Enterprise Resource Planning (ERP) system integrates the institution's business processes into a single platform, allowing administrators to manage fee collection, invoicing, procurement, inventory, payroll, budgeting, and human resource functions efficiently. For many school owners, this is arguably the most critical system in the institution.
General accounting software often falls short because it does not reflect the realities of Kenyan schools. An effective School ERP should integrate seamlessly with Lipa na M Pesa, automatically reconcile school fee payments, generate invoices, issue payment reminders, and support statutory obligations such as PAYE, NSSF, and the Social Health Insurance Fund (SHIF).
An effective ERP does more than manage finances. It enables informed decision making across the institution.
4. Communication and Parent Engagement Platforms
Schools function best when communication between administrators, teachers, and parents is timely, consistent, and reliable. Communication platforms help schools share announcements, attendance reports, behavioural updates, event notifications, emergency alerts, newsletters, and digital permission requests. Good communication strengthens trust between schools and families.
Although many international schools rely primarily on mobile applications, the Kenyan context requires greater flexibility. Communication should not depend solely on smartphone ownership or reliable internet access.
For this reason, the most effective communication platforms combine mobile applications with Bulk SMS services, ensuring that parents receive important information regardless of the device they use or where they are located.
The Danger of Software Overlap
One of the most common mistakes schools make is purchasing multiple platforms that perform similar functions.
Multiple software platforms are not necessarily a problem. Most schools require different systems to support learning, administration, finance, and communication. The real challenge lies in how those systems interact. When information entered into one platform cannot be shared securely with another, staff are forced to duplicate work, records quickly become inconsistent, and the risk of errors increases. Well-designed school technology allows authorised information to flow between systems automatically, improving efficiency while preserving the accuracy and integrity of institutional records.
However,a school may invest in a Learning Management System that already includes parent communication tools, yet continue paying for a separate messaging platform and an additional Bulk SMS service. Teachers then send the same information through several systems, parents receive duplicate notifications, and administrators struggle to determine which platform contains the most accurate information.
This phenomenon is commonly referred to as software overlap or tech bloat. While it may appear harmless, its consequences can be significant.
First, schools waste valuable financial resources by paying for duplicate software subscriptions.
Second, student information becomes fragmented. Attendance records may exist in one platform, examination results in another, fee balances somewhere else, and communication records in yet another system. Producing a complete picture of a learner often requires exporting information from several different applications.
Perhaps most importantly, every additional platform increases the institution's cybersecurity and data protection risks.
Every new application stores another copy of student information. Every additional user account creates another point of vulnerability. Every duplicate database expands the school's digital attack surface.
More software does not necessarily mean better technology. Often, it simply means more complexity and more risk.
Auditing Your School's Technology
Before renewing software licences or investing in another digital platform, school leaders should conduct a simple technology audit.
Begin by identifying every application used across the institution. Follow the journey of student information from admission through graduation. Ask where data is first collected, how it moves between systems, and who has access to it at each stage.
Next, identify your single source of truth. The platform should hold the institution's authoritative records, while every other application synchronises with it rather than maintaining separate copies.
Finally, evaluate every software subscription critically. If two systems perform the same function, consider whether both are truly necessary. Consolidating platforms not only reduces operational costs but also strengthens cybersecurity, improves data quality, simplifies staff training, and enhances regulatory compliance.
Technology should simplify school management, not complicate it.
The most effective schools are not those with the largest number of digital platforms. They are the institutions whose technology works together seamlessly, supports educational outcomes, protects personal data, and enables teachers and administrators to focus on what matters most: delivering quality education.
